A sole proprietor can register for DLT with the owner's personal PAN, an address proof such as a GST certificate or shop and establishment certificate, and a signed authorisation letter with an ID proof. The steps are the same as for a company: register as a Principal Entity, then headers, templates and links. A separate company certificate is not required.

Many small businesses in India are proprietorships: a clinic, a coaching class, a local shop, a freelance agency. The owner and the business are the same legal person, which changes what you submit when you apply for DLT registration. This guide explains DLT registration for a proprietorship: which documents to use, what to do when you have no GST number, and where sole proprietors usually get stuck. It is part of our main guide to DLT registration in India. If you want help with the set-up, Nexcomm's bulk SMS service includes registration support. More guides sit under Compliance & Regulations.
Can a sole proprietor register for DLT?
Yes. A proprietorship registers as a Principal Entity (PE) in the same way as any other business. The difference is the identity proof: the portal asks for the organisation's PAN, and for a sole proprietorship that means the owner's personal PAN card.
Which documents does a proprietorship need?
- Identity of the business: the proprietor's personal PAN card.
- Proof of address: one of a GST registration certificate, a certificate of incorporation or a shop and establishment certificate. A proprietorship has no certificate of incorporation, so in practice it is GST or shop and establishment.
- Authorisation: a letter of authorisation on the business's letterhead, and an ID proof (Aadhaar or passport) of the authorised signatory, who is normally the owner.
- If applicable: an MSME certificate or TAN certificate.
These are the documents Nexcomm's team asks for. Operators can differ, so use the list as a starting point and check the portal.
Can you register without a GST number?
GST is one accepted proof of address, not the only one. A shop and establishment certificate is also on the list. If your turnover is below the GST threshold and you have neither, ask the operator portal or your SMS provider what else it accepts before you apply. Do not submit a document that does not match your PAN and address, because a mismatch is a common reason for delays.
What are the steps for a proprietorship?
- Choose an operator portal. Jio, Airtel, Vi (Vilpower), SmartPing or Tata all offer registration. You do not need to register on all of them.
- Enter the business details exactly as they appear on the PAN and the address proof.
- Upload the documents listed above.
- Pay the one-time fee. As of 25 October 2026 Nexcomm works with Rs 5,900 including GST on most portals and Rs 3,540 on BSNL. See DLT registration charges.
- Wait for the Principal Entity ID. Typically two to five days. See how long DLT registration takes.
- Bind your SMS provider and then register your header, templates and links.
What should a proprietor register as the sender name?
Your brand name, as people know it. The header you apply for has to match your business, so a clinic called "Shree Care" should not apply for a header that suggests a bank. We explain how to choose in SMS sender ID.
How does it differ from a private limited company?
The steps are the same. The documents differ: a company uses its own PAN, its certificate of incorporation and an authorisation letter signed by a director. See DLT registration for a private limited company for the other route.
A worked example (hypothetical)
A tuition teacher in Nashik runs a proprietorship and wants to send fee reminders. This is an invented example. She applies on one operator portal with her personal PAN, her shop and establishment certificate and a signed authorisation letter, with her Aadhaar as ID. The portal asks her to correct the business name to match the certificate, and she resubmits. After the Principal Entity ID arrives, she binds her SMS provider and registers a header with her class name. The whole process takes her about a week because of the correction.
Common mistakes by sole proprietors
- Using a business name that differs from the PAN or certificate. It causes rejections.
- Submitting a company-style incorporation certificate. A proprietorship does not have one.
- Uploading unclear scans. Blurry documents are returned.
- Using an authorisation letter without a signature. Sign it.
- Registering on several portals to be safe. One is usually enough, and each charges a fee.
- Sending before templates are approved. Messages do not deliver.
